MODULE 4
COMUNICAREA ȘI CONSULTAȚIA CU CLIENTA
How to communicate professionally, set boundaries, manage difficult situations, and build client loyalty
Communicating with your client is as much a part of your job as the technique itself. A client doesn't always notice if the apex is perfect, but they immediately notice if they were listened to, respected, and correctly informed.
In this course, you will learn how to communicate with a client from the moment they send their first message until they leave satisfied, reschedule, and recommend you to others.
You will learn how to set boundaries without being cold, how to say "no" without feeling guilty, and how to speak with enough confidence that the client feels they can trust you as a professional.
PRE-LANSARE: Cursurile vor fi disponibile în contul tău începând cu 1 noiembrie 2026.
Maybe you can relate to this if…
- You receive vague messages and don't know what questions to ask.
- You waste a lot of time on scheduling.
- Clients expect you to respond at any hour.
- You answer messages at 10 or 11 at night and feel like you no longer have personal time.
- It is hard for you to say "no".
- You accept requests that aren't a good fit just so you don't upset the client.
- You don't know how to refuse someone bringing a child when your space is not set up for children.
- You don't know how to communicate a price increase.
- You have clients who are late, cancel, or don't show up.
- You freeze when you receive the message "I broke a nail".
- You don't know how to talk to an unhappy client.
- You don't establish the price, duration, and possible result from the start.
- A client shows you a photo, but you don't know how to find out what they actually like.
- You are afraid to recommend a different shape, length, or technique.
- Clients leave satisfied, but they don't rebook.
- You want clients to respect you and trust you.
- You want to receive more word-of-mouth recommendations.
What you will learn
- How to respond professionally to the first message.
- What information to request before confirming an appointment.
- How to offer clear scheduling options without dozens of messages.
- How to set a response schedule and stop being available 24/7.
- How to communicate the price, duration, and service terms.
- How to welcome the client when they enter the salon.
- How to conduct the consultation before starting the service.
- What questions to ask to understand the client's lifestyle and needs.
- How to interpret a photo sent by the client.
- How to find out what they truly like: shape, length, color, finish, or design.
- How to recommend a suitable option without imposing your own taste.
- How to refuse an inappropriate or unsafe request.
- How to say "no" clearly, calmly, and professionally.
- How to set boundaries regarding messages, lateness, cancellations, and guests.
- How to communicate that you cannot accommodate children if the space is not equipped for them.
- How to announce a price increase without uncertain explanations or apologies.
- How to handle messages about lifted, cracked, or broken nails.
- How to communicate with an unhappy client without immediately getting defensive.
- How to wrap up the appointment so the client knows when to return.
- How to encourage rebooking, loyalty, and referrals.
Communication begins before the client enters the salon.
The first impression isn't formed at the desk, but in the first message. A professional response must be clear, easy to understand, and lead to a single next step.
You will learn how to respond without having a 30-message conversation and how to provide important information directly:
- Which service might be suitable.
- How long it takes.
- What the price is.
- What time slots are available.
- What the client needs to do next.
You don't need to respond instantly or at 10 PM. You need to have a clearly communicated response window and stick to it. When you respect your own time, clients learn to respect it too.
Pre-service consultation
The consultation takes place before you begin the work. At this stage, you establish what the client wants, what the natural nail allows for, and which option you can perform correctly.
You will learn to discuss:
- The history of previous work.
- Any resistance issues or lifting that occurred.
- The client's daily activities.
- Desired shape and length.
- Suitable products or techniques.
- Realistic duration of the service.
- The final price and any potential additional costs.
- When the client should return.
Before you begin, the client must know exactly what you will be doing, how long it will take, and how much it costs. Many conflicts can be prevented through a properly conducted consultation.
How to find out what the client really wants
A photo from Pinterest or Instagram is not an exact order. It is the client's way of trying to show you what she likes because she does not know the technical terms.
You learn to break the photo down into:
- Shape.
- Length.
- Color.
- Finish.
- Design.
Instead of assuming you have to copy the entire image, you will know to ask: "What exactly do you like most about this picture?". This way, you can adapt the result to the client's hand, natural nail, lifestyle, and preferences.
How to say "no" without losing the client's trust
A professional does not accept every request. Sometimes you have to refuse an unsuitable length, work that cannot be performed safely, an appointment outside of business hours, or the presence of a child in a space that is not child-friendly.
You will learn not to just answer with "it's not possible," but to explain:
- What you noticed.
- Why the requested option is not suitable.
- What consequence may occur.
- What alternative you recommend.
When a refusal is explained calmly and accompanied by a solution, the client does not perceive it as an attack. They perceive it as the recommendation of a professional.
Clear boundaries, guilt-free
Boundaries do not drive away the right clients. Boundaries create clarity and respect.
In this course, you will learn how to set and communicate:
- Your messaging response hours.
- Appointment confirmation terms.
- Rules regarding deposits.
- Cancellation and rescheduling policy.
- What happens in case of tardiness.
- When a delay requires simplifying or canceling the service.
- Rules regarding guests.
- Why you cannot accommodate children if you do not have a safe and prepared space for them.
- Repair and warranty policy.
- Situations where a repair is complimentary and when it is paid.
You shouldn't have to invent rules in the middle of a conflict. Rules must be established, communicated, and consistently applied to all clients.
How to communicate a price increase
A price increase does not need to be announced with fear, apologies, or endless justifications. The client needs clear information: the date the new price takes effect and the updated list of services.
You will learn:
- How far in advance to announce the change.
- How to phrase the message.
- How to respond if a client asks why the price has changed.
- How to remain calm if a client decides to discontinue services.
- Why price must be supported by professionalism, consistency, and experience.
How do you communicate while programming
The workspace must be a place where the client feels comfortable and safe. This does not mean you have to tell her your whole life story or participate in every discussion.
A true professional:
- Does not gossip about other clients.
- Does not speak poorly of other technicians.
- Does not criticize work done previously by someone else.
- Does not turn every appointment into a negative conversation.
- Does not share confidential information about other people with the client.
- Chooses their words carefully.
- Elegantly redirects inappropriate conversations.
- Talks about beautiful, constructive, and inspirational things.
- Maintains a warm, yet professional relationship.
If you speak negatively about another client, the person in front of you will wonder what you will say about them once they leave. Discretion and respect build trust.
How to handle an unhappy client
A complaint should not be ignored, but it shouldn't be automatically accepted as your fault either. First, you listen, ask for the necessary information, and verify the situation.
You will learn:
- How to respond to a "my nail fell off" message.
- What photos and information to request.
- How to differentiate an application issue from trauma.
- How to invite the client for an assessment.
- How not to promise a repair before seeing the problem.
- How to take responsibility for a mistake when it is yours.
- How to calmly explain when the situation is not covered by the guarantee.
- How to protect the relationship with the client without giving up your boundaries.
The client must feel that they are being listened to, but also that the situation is being analyzed professionally.
From the first appointment to the subsequent referral
The best form of advertising has been and will always be word-of-mouth recommendations. A client who felt listened to, respected, and well cared for will not only return but will also tell others about you.
You will learn:
- How to explain when they need to return.
- How to suggest rebooking before they leave.
- How to conclude the appointment in a professional manner.
- How to ask for a review without putting on pressure.
- How to stay in touch without sending pushy messages.
- How to turn a good experience into a long-term relationship.
- How to build trust through consistent communication and correctly applied rules.
More trust. More respect. More recommendations.
If you follow the lessons and apply the communication structures, you will have clear benchmarks for:
- Responding professionally to messages.
- No longer being available at any hour.
- Conducting a complete consultation.
- Understanding exactly what the client wants.
- Saying "no" without fear or guilt.
- Communicating rules and boundaries.
- Announcing a price increase.
- Handling delays, cancellations, and dissatisfaction.
- Keeping conversations positive, discreet, and professional.
- Inspiring confidence.
- Retaining clients.
- Receiving more word-of-mouth referrals.
Communication does not mean accepting everything just to be liked. It means being clear, calm, respectful, and consistent from the first message until the end of the relationship with the client.
It is for you if…
- You are just starting out and don't know how to talk to a client.

- You are afraid to say "no".
- You don't know how to communicate salon rules.
- You have cancellations, delays, or no-shows.

- You find it hard to announce a price increase.
- Your clients don't rebook.
- You want to speak with more confidence.
- You want to inspire professionalism and security.
- You want to build client loyalty and receive referrals.
It is not for you if…
- You do not work with clients and do not intend to offer services.
- You believe that technique is the only thing that matters.
- You do not want to establish or follow clear rules.
- You are not interested in the client experience.
- You already have a complete protocol for communication, consultation, scheduling, boundaries, and retention, which you apply without any issues.
